Practice administrators can restrict login access for individual accounts directly from the Location and Staff Management screen. Restricting login access prevents a user from signing in to RXNT while keeping their account active, ensuring that all associated records, appointments, and billing data are preserved. This is useful in situations where a provider is no longer actively working at the practice, but their account must remain accessible for administrative purposes, such as completing billing or transferring appointments.
Login access can be restricted or restored at any time from the user list or the user's profile.
Restrict login access
To restrict login access for a user, navigate to Location and Staff Management and select the User tab.
From the user list, locate the user whose login access you want to restrict. Click the menu icon (⋮) in their row and select Restrict Login from the dropdown menu.
Or, to restrict access from the user's profile, select the user from the user list to open their profile. Scroll to the Account Status field, which displays the user's current login status. Click Restrict Login to restrict their access.
A confirmation will appear confirming that the user will no longer be able to login and their account will remain active and all data preserved.
Click Restrict Login to confirm, or Cancel to return without making any changes.
Restricted status
Once login access has been restricted, the user's status column will display a Restricted badge in place of the standard active checkmark.
On the user's profile, the account status will also reflect that the login is restricted.
Login experience for restricted users
When a user whose login access has been restricted attempts to sign in, they will receive an "Invalid Login Credentials" error. This error appears after entering their password on a trusted device, or after completing multi-factor authentication on a device that is not trusted.
Restore login access
Login access can be restored at any time from either the user list or the user's profile.
From the user list, locate the restricted user and click the menu icon (⋮) in their row. Select Restore Login from the dropdown menu.
From the user's profile, open the user’s profile and scroll to the Account Status field, which will display the current status as "Login access restricted." Click Restore Login Access to restore their access.
A confirmation will appear confirming that the user will be able to log in again and their access and permissions will be restored to what they were before login was restricted.
Click Restore Login to confirm, or Cancel to return without making any changes.
Once restored, the user's status column will return to the standard active checkmark and the user will be able to log in immediately.
