Sending Patient Portal Registration

Send a patient their portal registration from within the EHR or the Scheduling application. You can do so at any time for an existing patient, or at the time you are adding a new patient to your practice. 

If the patient is a minor or has a representative such as a spouse, the parent or representative may register for the patient's portal as well. They will select Representative while registering.

EHR

Existing patient

Navigate to the patient's dashboard and click their name hyperlink to display the Patient Edit screen.

The patient’s email address must be on file in order to send the patient portal registration. If the email address is not on file, scroll down to enter it below.

To save, scroll to the bottom of the screen and click Update.

Click Send Portal Registration.

A date and timestamp will display indicating when the registration was sent.

You will be notified if there is no email on file for the patient

The registration link will be sent to the email address on file for the patient.

Please inform your patient that the registration link is only valid for 72 hours. If the patient does not register within 72 hours, follow steps outlined above in the “Existing patient” heading to resend the link from the Patient Edit Screen.

Once the patient registers, a message will display indicating the patient has successfully registered with a date and timestamp of their last login.

New patient

Add a new patient and complete their full profile of demographic information, or utilize the Quick Add function. 

Quick Add is the fastest way to send the patient portal registration. 

Quick Add Full Profile

Click Add Patient.

Within the top highlighted Quick Add row, enter the patient’s last name, first name, date of birth, email address and select the Activate PHR checkbox. Then, click Quick Add to add the patient to the system and send the patient portal registration link.

The patient can now begin their patient portal registration with the link sent. Any demographic information the patient completes on their portal will transfer to the EHR for you to review and accept or reject. Click here to learn more!

Please inform your patient that the registration link is only valid for 72 hours. If the patient does not register within 72 hours, follow steps outlined above in the “Existing patient” heading to resend the link from the Patient Edit Screen.

Once the patient registers, a message will display indicating the patient has successfully registered with a date and timestamp of their last login. EHR success.png

Revoke patient portal access

Once registration has been sent, you have the ability to revoke the patient portal access at any time, if necessary. Doing so will make any emailed links inactive and remove existing portal access from a patient.

Revoking patient portal access is only available in the EHR. This function is not available in the Scheduling application.

The patient will receive an email indicating their portal was deactivated by their healthcare provider and to contact them with any questions,

A date and timestamp will display indicating when the access was revoked.

Once revoked, patient portal access can be granted again, at any time by clicking Send Portal Registration. 

The patient or representative may use the same login credentials they initially had prior to their access being revoked.

Scheduling

Navigate to the patient's dashboard and click their name hyperlink to display the Patient Profile.

Existing patient

The patient’s email address must be on file in order to send the patient portal registration. If the email address is not on file, enter it in the Email field and click Save.

Click Send Portal Registration.

New look and feel - EHR

Beginning on Thursday, August 22nd, 2024, users will experience an updated quick add feature and patient information screen. The updates will begin gradually and will be fully implemented for all customers by Wednesday, August 28th, 2024. Refer to the below instructions if the updates have been released to your practice.

Make a selection from the dropdown menu to send the registration link by Email or Text Message.
