Advanced Reporting - Practice Insights

The Practice Insights dashboard provides an overview of appointment data and patient demographics. The dashboard provides valuable insights and analytics related to scheduling, enabling you to make data-driven decisions and optimize your practice’s scheduling process.

Viewing the dashboard

Click Reports.

 

Click Practice Insights under the Advanced Reporting section. 

Understanding the dashboard

In its default state, the dashboard includes information for the entire practice. However, the dashboard can be filtered by a variety of data points, such as Provider, Material Resources, Appointment Status, Appointment Type, Service Type, Location, or a combination of multiple filters. Total appointments and total patients

The Total Appointments and Total Patients trend charts display a visual representation of appointment and patient volumes over the selected timeframe. These charts help identify patterns and trends by showing how the number of appointments scheduled and patients seen varies monthly depending on the selected date range. 

Click the Chevron in the top left of the chart to toggle between total appointments or patients.

If patients were seen more than once within the selected timeframe, they would not be counted more than once in the Total Patients count.

Appointments by

The Appointments by Status, Type, Service Type, Provider, and Material Resource, pie chart displays a breakdown of each data point for the selected timeframe. Click the Chevron to toggle between the different filter options. 

New vs. returning patients

The New vs. Returning Patients graph provides a visual comparison between new and returning patients for the selected timeframe. The graph also provides the total number of new and returning patients, which helps you analyze patient growth, retention, and attrition trends over time within your practice.

New patients are defined as never having a previous appointment date, while returning patients are defined as patients who do have a previous appointment date(s), regardless of the duration between past and current appointment dates.

Gender distribution

The Gender Distribution pie chart provides a breakdown of patients with an appointment in the timeframe by gender, providing insight into your patient population. 

Age distribution

The Age Distribution pie chart provides a breakdown of patients with an appointment in the timeframe by age, providing insight into your patient population.

Patient reference source and patient portal access

The Patient Reference Source pie chart breaks down the Reference Source for all patients with an appointment during the timeframe selected, so you can see where your patients have been referred from and how they found your practice. The Patient with Patient Portal Access pie chart helps you visualize the percentage of patients with and without patient portal access, providing insight into patient engagement. Click the Chevron to toggle between the different pie charts.

Patient zip code breakdown

The Patient Zip Code Breakdown map provides a visual representation of the geographical distribution of patients based on their respective home zip codes. You can identify which state and city your patients reside in, allowing for better patient management and outreach. 

This grid shows a breakdown of patients based on the selected appointment timeframe and any applied filters. For instance, if you filter the age distribution pie chart to display only patients aged 40-49, the grid will reflect only those patients with an appointment within the age range. 

The tables below are intended to support scheduling and outreach workflows. They operate independently and are not affected by the filters applied in the top section of the dashboard. 

Patients without completed appointments in last 6 months

The Patients Without Completed Appointments in Last 6 Months section provides a list of patients who haven't had an appointment completed within the last 6 months. This section serves as a resource to assist you in identifying and taking action on patients who haven't had a completed appointment within the last 6 months. 

Patients without upcoming appointments

The Patients Without Upcoming Appointments section provides a list of patients who do not have an upcoming appointment scheduled as of the date you are viewing the dashboard. This section serves as a resource to assist you in identifying and taking action on patients without upcoming appointments.

Prior authorization remaining visits

The Prior Authorization Remaining Visits section provides a list of all patients with a Prior Authorization. This section includes the following details: Patient Name, Account Number, Total, Visits, Remaining Visits, Payer Name, Prior Auth Start Date, Prior Auth End Date, and Case ID.
