The custom reporting module encompasses the Encounter Report, Insurance Payment Report, Patient Payment Report, Aging Report, Patient Report, Cash-Basis Aging Report, and Activity Report. With this tool, you can:
- Create flexible reports based on the reporting period, report type, and date type.
- Filter, sort, and group fields are most important to you.
- Set favorite and default views for future use.
- Run high-level reports for management or line item reports for revenue cycle specialists.
Encounter Report
Use this report to generate an extensive breakdown of encounter-specific data, including claim tracking, unsettled encounters, payments, and more for a particular report period.
Running the Report
Select Encounter Report from the Report Type drop-down.
Select the Date Type from the following options:
- Service Date
- Billed Date
- Created Date
- Batch Date
Select the Report Period or enter custom dates in the Date From and Date To fields.
Click Run Report to generate the Encounter Report. This report will filter the encounters based on the date type and range selected.
The Encounter Report will be added to the queue in the Pending state.
Once ready, the status will change from In Progress to Completed , and the View Report link will be available. Click View Report to open the report.
Understanding the Report
Encounter data is contained under 7 different tabs.
- All - Displays all columns contained in the 6 other tabs.
- Encounters - Displays encounter data based on the search criteria.
- Claim Tracking - Displays claim details for the filtered encounters.
- Unsettled Encounters - Displays unsettled encounters for the report period.
- Line Items - Contains the line item details of the filtered encounters.
- Payments - Contains payment information associated with the encounters.
- Miscellaneous - Miscellaneous line items or charges will be listed here.
- Users - Displays details of the users that created the encounters.
Export to CSV and PDF
Click on the CSV icon to export the report in the CSV format.
Click on the PDF icon to export the report in a PDF format.
Click Export by Group to export the PDF report based on the groupings in the report.
Starting Wednesday, May 31st, 2023, The encounter report data will now be fetched from a reporting database (BigQuery). This does not affect your data or impact your totals, but the frequency of data updates will change to every 2 hours. The date and time of the latest data update is indicated under the **Data Synced Until** field.

Insurance Payment Report
This report consists of insurance payment details at a line item level. Use this report to get a total picture of insurance payments collected or posted in a specific period of time.
Running the Report
Select Insurance Payment Report from the Report Type drop-down.
Select the Date Type from the following options:
- Payment Date
- Posted Date
- Service Date
Select the Report Period or enter custom dates in the Date From and Date To fields.
Click Run Report to generate the Insurance Payment Report. This report will filter the encounters based on the date type and range selected.
The Insurance Payment Report will be added to the queue in the Pending state.
Once ready, the status will change to Completed from In Progress, and the View Report link will be available. Click View Report to open the report.

This report consists of line item level details for all insurance payments that match the search criteria.
Use Include Unposted Payments to also display unposted insurance payments that match the search criteria.
Callout: Keep in mind that this report contains only payments that are linked to an encounter.

Patient Payment Report
This report consists of patient payment details at a line item level. Use this report to get a total picture of patient payments collected or posted in a specific period of time.

Patient Report
This report consists of patient details. Use this report to access patient specific details like demographics, cases, prior authorizations, etc. in a specific period of time.

- Date of Birth
Select the Report Period or enter custom dates in the Date From and Date To fields.
Click Run Report to generate the Patient Payment Report. This report will filter the encounters based on the date type and range selected.
The Patient Report will be added to the queue in the Pending state.
Once ready, the status will change to Completed from In Progress, and the View Report link will be available. Click View Report to open the report.

Important Changes After February 22nd, 2023
Starting on February 22nd, 2023, only five (5) previous snapshots will be stored in the Report Queue for each report type (Patient Report, Patient Payment Report, Insurance Payment Report, Encounter Report, and Aging Report). Any remaining snapshots will be deleted from the queue.
Why is This Happening?
Removing unused report snapshots will improve overall system performance.
Steps Before the Sunset:
If there are any snapshots that you'd like to save, please look through your Report Queue and download any of importance to CSV or PDF format by February 22nd.
Future Best Practices:
Please maintain report snapshots locally to avoid losses of historical data after the sunset. Download to CSV or PDF format to access them at a later time, as we will automatically remove old snapshots when new reports are generated.
Important Note:
You can re-generate a report for the same date range at any time. However, please keep in mind that the newly generated report will display the latest data and incorporate all data updates after the previous snapshot was created.
