Modern patient communication demands convenience, speed, and flexibility. Offering the ability to send statements and bill payment links through both email and SMS empowers healthcare providers to meet patients where they are, on their preferred digital channels.
With e-Statements delivered directly to a patient’s inbox or mobile device, practices can significantly reduce reliance on paper billing, minimize delays, and improve overall engagement. Patients receive timely notifications about their balances, along with secure links that allow them to review statements and make payments quickly and easily.
Configure bill pay via email & SMS
The option for sending statements via email and SMS are configured within Billing Utility.
To access these settings, click on Utilities.
Click Preferences, then click Company Preferences.
Within the Statement Settings section, locate the Always Send Statements Via option. Click inside the Select From List field and select Email and Text from the dropdown menu.
Click Save to apply your changes. A confirmation pop-up will appear indicating the updates were saved successfully, and you will need to log out and back in for the new preferences to take effect.
Send e-statements via email & SMS
Sending e-Statements via email and/or SMS provides a fast, convenient way to deliver billing information directly to patients through their preferred communication channels. Email offers a detailed and easily accessible format, while SMS ensures immediate visibility and higher engagement, making it ideal for reminders and quick payment actions. Together, these options help streamline the billing process, improve response times, and increase collection efficiency.
After configuring your company preferences, you can send statements via email and/or SMS by navigating to the Statements screen. Click the checkbox next to the patient, or patients, you want to send statements to.
Click the chevron on the Send icon to choose your preferred delivery method: Email, Text, or both. Then, click Send.
Statements will only be sent to patients whose profiles indicate a preference for receiving them via SMS or email. If a patient’s profile is missing a phone number or email address, an error message will appear stating: “This patient is missing a cell phone number and/or email address. Please add the missing information to send statements via SMS or Email.”

QR code in statements
Patient statements include a QR code (Quick Response code) that provides fast, convenient access to online payment options. By scanning the QR code with their smartphone’s built-in camera, patients are directed to their account where they can securely view their balance and make a payment.
