Create new procedure macros
Procedure macros are groups of commonly used codes that act as shortcuts for your practice, helping streamline documentation and billing workflows. These macros are available to both providers and billers, including those using the Charge Capture mobile application or the clinical Electronic Health Records (EHR) system.
Procedure macros can be created with procedure codes, miscellaneous charges, or a combination of both, allowing you to bundle all relevant billing components into a single shortcut. When a macro is applied to an encounter, any linked procedure codes and miscellaneous charges are automatically populated, reducing manual entry and improving accuracy. For example, a macro for a routine office visit can include a CPT code, diagnosis code, and a miscellaneous charge for supplies or administrative fees, all of which are added to the encounter simultaneously.
Click Utilities.
Click Practice Setup, then Procedure Macros.
Click New Procedure Macro.
Enter a name for the procedure macro in the Name field. You can also add additional details in the Description field.
Under the Procedure Codes tab, you can link CPT codes, modifiers, diagnosis codes, and units by clicking the green +. Select a procedure code from the dropdown menu, enter modifiers in fields M1–M4, add up to four diagnosis codes in Dx1–Dx4, and specify the number of units.
Under the Miscellaneous Charges tab, you can select existing miscellaneous charges from the Charge Transaction Code dropdown and enter the units by clicking the green +.
To add notes to a procedure macro, click Notes on the screen. Example: You might include a note like “Use this macro for all new patient visits requiring injection and supply codes” to provide context or instructions for staff using the macro.
Enter your information in the Note field, select the Alert checkbox if applicable, and then click Add Note. The note and details will appear below, and you can click Exit when finished.
Once you have finished setting up your procedure macro, click Save to store the macro.
Edit procedure macros
A procedure macro may need to be edited when updates to billing requirements, clinical workflows, or supply usage occur.
For example, if a clinic introduces a new injection supply or changes the dosage for a routine office visit, the existing “Procedure – Injection + Supplies” macro would be edited to include the new supply code or updated quantity. This ensures that all future encounters using the macro reflect the current procedure and associated charges, maintaining accurate documentation and billing.
From the Procedure Macros screen, click the macro name you want to edit.
Update the procedure macro details as needed, such as adding or removing procedure codes, miscellaneous charges, modifiers, or notes. Once all changes are made, click Save to apply the updates.
If a Procedure Macro is not linked to an encounter, the option to delete it will be available. If it is linked to an encounter, the delete option will not be visible.
