Statements can be manually printed directly from the patient's dashboard. Typically, a statement may need to be manually printed when a correction has been made, when a patient requests a statement on demand, or when a statement was not generated during the regular statement cycle. 

To begin, search for the patient using the top navigation bar. You can enter the patient's first Name or last name directly in the fields, or click the filter icon to search by their chart number, account number, date of birth, phone number, or zip code. 

The Patient Dashboard features a set of icons on the left side, each tailored to display information specific to that patient.

  • PP - Patient Payments
  • IP - Insurance Payments
  • PF - Patient Funds
  • PS - Print Statements
  • SQ - Statement Queue

Click the PS icon.

To generate the statement by guarantor, select the By Guarantor checkbox, then click the Search Icon to search for the guarantor. 

Enter their first or last name, then click the Search Icon and select the guarantor from the search results below.

If the patient has multiple cases, choose the appropriate case from the Patient Cases dropdown menu. 

To generate a statement for a specific date, enter the date in both the Service Date From and Service Date To fields. 

One-time note

To add a note on the statement, check the Show note in the statement checkbox. Then, enter your note in the text box below. This note will appear on the patient's statement only for this instance. 

Permanent note

Permanent notes are assigned to every patient statement, whether it's generated manually or automatically.

To add a permanent note on statements, check the Permanent Note box. Then, enter your note in the text box below. 

Click Save.

Add additional details on statements

To display encounters with no patient balance, check the Include encounters with no current patient balance box. This will generate all dates of services that have either no patient balance or have been settled. 

To display encounters that haven't been billed, check the Include unbilled encounter box. This will display all dates of service with outstanding patient balances that have not yet been billed.

To display diagnosis codes and other encounter details, check the Include encounter details box. This will display the diagnosis codes along with any additional information selected in your statement preferences.

To display insurance payments and pending insurance balances, check the Include Insurance Payments and Pending Insurance box. This will display all insurance payments along with pending insurance balances. 

Record to patient's account

When printing statements from this screen, you have two options: you can either print the statement without recording it to the patient's account or print it and record it. Statements printed with the Record to Patient's Account option selected will appear on the Patient Dashboard and be accessible through the Patient Portal. 

Clients using our printing service will see an option labeled Send to Printing Service. Selecting this option sends the statement directly to the printing service, where it will be printed and mailed to the patient. 

Service Dates in Statements

Line Item

Patient statements display line item service dates for each line item in the following way:

  • Line item from date to line item to date
  • If one date is missing, the other date is shown.
  • If both dates are missing, the encounter level service dates are displayed.
