Ambient IQ utilizes artificial intelligence to passively record patient-provider conversations during visits. This technology operates in the background, requiring no manual input from the provider, and transforms the natural dialogue into a structured clinical encounter.
Currently, you can only record visit conversations with Ambient IQ using the RXNT mobile app.

Begin session
Tap Start Ambient IQ.
The Start Ambient IQ button will still be accessible if you're toggled to ERX or EHR.
Alternatively, tap the blue Start Ambient Encounter button at the bottom of the page when toggled to EHR.
First, select your Encounter Form.
Select the Psychotherapy Note radio button if necessary.
Psychotherapy notes are not accessible to patients in the portal. This is important for providers who want to keep session notes separate from medical records. Providers must know what qualifies as a psychotherapy note and comply with relevant laws. This feature is available only if enabled in Company Preferences from the main product dashboard utility menu.
- Use the Visits dropdown menu to link an appointment to the encounter. The menu includes all appointments for the patient that have been checked in within the Scheduling software, and have not already been linked to an encounter.
- Use the Intake Form dropdown menu to link an intake form to the encounter. All intake forms completed by the patient will be listed here. The selected intake form will display at the end of the encounter PDF once the encounter is complete/signed.
Tap Save & Start Ambient IQ Session to begin.
Once you have obtained your patient's consent to record, please read and accept the Consent Agreement to move forward.
One of the most important elements of any patient-provider relationship is trust. To build trust with patients around the use of ambient listening software, it’s important to be transparent about its use and consistent in your communication. While consent forms may satisfy some legal requirements, trust requires more than a signature.
Here’s some example language you can use when gathering patient consent:

“I’d like to use a tool called Ambient IQ during our visit. It records our conversation and creates a draft visit note, which I’ll review for accuracy after our visit. The recording is automatically deleted, and your information remains private.
This tool helps me take notes so I can stay more present and focused on you during our visit.
Is it okay if I use Ambient IQ for this and future visits? You can tell me to stop using Ambient IQ at any point.”
If this is your first Ambient Session, you may be prompted to allow access to the microphone and approve notifications such as alerts, sounds, and icon badges. Tap Allow as the microphone is required to record your session and the notifications may provide helpful visual cues or reminders during your session, specifically when you start or stop recording.
Tap the mic button to begin recording the visit. The session transcript will not display as you are recording. You can view the transcription when a session is paused and/or finalized.
RXNT currently doesn't support headphones or Bluetooth connections on mobile devices, so please make sure to disconnect those before starting your ambient session. Additionally, if you have any other recording apps open on your mobile device, like Google Meet or Zoom, they may take control of the microphone and prevent the ambient session from recording. It’s a good idea to close those apps before you begin your session.
Feel free to collapse the session while you're recording to navigate through the app or your device. Ambient IQ will keep recording unless you decide to pause the session. Simply collapsing the session won't pause it, however, you can pause the session from the collapsed view.
When the session is collapsed, you can find it at the bottom of your screen. If needed, pause the session from the collapsed view. To return to full screen view, just tap the session to expand it.
Pause session
Feel free to pause ambient sessions whenever you need; you can easily resume them later. If you want to continue a paused session after the patient has left the visit to add more information, that's entirely acceptable as well!
When paused, the transcription will begin on screen. You do not have to wait for the transcription to finish before resuming, the job will keep running in the background, and all your recorded audio will be safe.
If paused, tap the mic button to resume the session.
Alternatively, tap the X to close the window and pause the session. This may be helpful if you need to prescribe a medication or get more information from the patient's chart during the visit.
Confirm the pause by tapping Close Session.
You don't have to wait for the transcription to appear when you close the session. It will continue transcribing in the background.
To resume the session, locate it from the Encounters list and tap Resume Ambient AI Session. Remember, you can continue a paused session after the patient has left the visit to add additional information if needed.
Ensure you are toggled to EHR and the Encounters list.
Finalize session
Finazlie your Ambient IQ sessions so you can access the encounter on the web version of RXNT! Ambient IQ encounters remain locked on the web until finalized here.
Please avoid exiting the RXNT app while finalization is in progress. Let the finalization finish before closing the app to ensure your ambient session uploads properly and the encounter is accessible in the EHR.
Once the session is complete, tap Finalize.
A popup message will inform you of your session's system-assigned encounter number. Confirm the end of the session by tapping Finalize Session.
Access finalized session
You're able to view the finalized ambient session transcripts in the mobile app, but please note that you won't be able to make any edits to the session here. In the RXNT web-based version, you can access the finalized ambient session as a draft encounter that can be reviewed and edited. Take a look at the tabs below for steps to find your finalized sessions.
Ambient IQ sessions that are not yet finalized will remain locked on the web until the finalization process is completed.
In the patient's encounter list, sessions recorded by Ambient IQ will be distinguished by the encounter name Ambient IQ Encounter.
Finalized sessions will only offer the option to View Ambient IQ Session.
Visit the RXNT web version to review your finalized ambient sessions. In the patient's encounter list, sessions recorded by Ambient IQ will be distinguished by the Apollo logo, encounter name Ambient IQ Encounter and the Form ID AM6153.
If an Ambient encounter has been finalized on the RXNT app, click on it to review. If edits need to be made, proceed with your changes as you normally would any draft encounter. Once the encounter is signed, it is not able to be edited.
If the Ambient IQ session is not finalized in the RXNT app, the encounter remains locked on the web and you will be unable to review the encounter. Please finalize the session on the app to proceed on the web.
Disable/enable Ambient IQ
Ambient IQ is set to ON by default. However, practices can turn the feature off or back on whenever needed. To do this, go to the Clinical Admin Tools in the EHR utility menu (available exclusively to those with the Clinical Administrator role).
Then, scroll down to AI Settings and select it.
Click the Ambient IQ tab on the left. Here, use the toggle button here to manage the feature (navy blue means it's on, grey means it's off). The status shown will apply to all users in the practice.
Ambient best practices
Your Ambient AI is a powerful tool; however, it is only as good as what it can hear. Below, we have outlined some tips to avoid losing information and achieve high-quality results.
- Keep the device within 10 feet max of the speaker(s) (ideally less than 7 feet)
- Keep the device oriented towards the speaker(s)
- Keep the mobile device face-up
- Keep the device away from high movement/noise areas (Examples would be on a desk where you are moving objects near it, on the examination bed, or near a source of noise like a fan)
- Do not use other recording apps or video/voice conferencing apps (such as Google Meet, Zoom, Whatsapp, etc.) while recording an ambient session
- Make sure you are using the latest version of the app. You will be notified if there is a newer version of the app available to you; please proceed to update when prompted.
- Please avoid exiting the RXNT app while finalization is in progress. Let the finalization finish before closing the app to ensure your ambient session uploads properly and the encounter is accessible in the EHR.
- Do not delete the RXNT app if you have any un-finalized ambient sessions, as they will be lost.
iOS Users
Do
✅ Before starting a recording:
- Close Google Meet (GMeet), Zoom and other recording apps before initiating an ambient session.
- End any active messengers’ or native phone calls before starting a recording.
✅ During an active recording:
- If you must join GMeet or Zoom, expect the recording to pause and resume automatically. It is a good practice to double-check that by visiting the recording screen.
- If you receive a call (messenger or native), the recording will pause and resume after the call ends.
- You may connect/disconnect AirPods (or other BT devices) without issues.
Do not
❌ Do NOT start a recording while in:
- GMeet or Zoom or similar meetings → Recording will fail.
- Messenger or native calls → Recording will fail.
❌ Do NOT rely on recording if:
- You join GMeet/Zoom first and then start recording → It will silently fail.
- You start recording during a call → It will silently fail.
Android Users
Do
✅ Before starting a recording:

- GMeet or Zoom or similar meetings → Recording will fail.
- Messenger or native calls → Recording will fail.
❌ Do NOT rely on recording if:
- GMeet, Zoom or similar app was running before/after starting a session → Blank audio.
- A messenger call is active → Blank audio.
