Use the Reminders Report to view, track, and analyze reminder activity within a selected date range for auditing, follow-up tracking, and record-keeping purposes. The report allows you to filter reminder data, review reminder trends by type, and export the information in CSV or PDF format for reporting and documentation needs.
Scheduling
To begin, navigate to Scheduling and click Reports.
On the Reports screen, click Reminders.
You can run the report using either the Reminder Date or the Appointment Date, depending on the information you want to review.
- Reminder Date – Displays reminders based on the date the reminder was sent or scheduled.
- Appointment Date – Displays reminders based on the patient’s scheduled appointment date.
Enter a date range using the Date From and Date To fields, or select a month from the Type Month field.
By default, all filter criteria are selected. You can click the checkmarks to deselect any criteria you do not want to include in the report. Available criteria fields include Event Type (Appointment Reminder), Doctor Group, Person Resources, Communication Type, and Patient.
The Green + icon is available for Doctor Group, Person Resources, and Communication Type to help refine your search selections.
In the Patient field, you can enter a specific patient name to search for reminders associated with that patient. Then, click Run Report to generate the data.
The data will be displayed below within four tabs:
- Processed - Includes reminders that have been successfully processed by the system. This tab does include reminders that failed to reach the patient. For example, if the message was sent to the patient, but could not be delivered as the patient has opted out of communications.
- Not Processed - Includes reminders that were created but not processed.
- Scheduled for Today - Includes reminders that are scheduled for today’s upcoming appointments that have not yet been processed.
- Future - Includes reminders that are scheduled for upcoming appointments after today’s date that have not been processed.
You can export the report in either CSV or PDF format by clicking the Three Lines (menu icon). This allows you to download the data for external use, reporting, or record-keeping.
From the same menu, you also have the option to customize the report view by adding or removing columns. This lets you tailor the displayed data to include only the information that is most relevant to your needs, helping you create a more focused and readable report before exporting.
In addition, click Report Summary to view a quick snapshot of the data, broken down by reminder type. This summary provides a high-level overview of reminder activity, making it easier to quickly identify trends and distribution across different reminder categories.
To save the report as a favorite, enter a name in the Favorite Search field, then click Save Favorite Search. This allows you to quickly access the same report configuration in the future without having to reapply filters or settings.
