Overview

The CCD Export feature allows practices to perform patient data exports using standardized Continuity of Care Documents (CCDs). These standardized documents are exported as password-protected zip files and include data from a patient's chart summary, streamlining communication when referring patients to other healthcare professionals.

Initiating a CCD request

To start a new export, select CCD Export from the utility menu in the EHR. 

Filtering options

Users can refine their export request using the following criteria:

To include all patients in the export, you can leave all criteria fields blank.

  • Encounter Dates: Select a start and end date or use Quick Pick options. The export will include encounters signed within the specified time period.
  • Provider: Select the specific provider whose encounter data you wish to export.
  • Patient Demographics: Filter by First Name, Last Name, Zip code, or Date of Birth (DOB).
  • Referral Information: Filter by Referred To or Referred By details.

Submitting the request

Once your criteria are entered, click Search to populate available results. 

Select individual patients using checkboxes, or click Select All to select all patients. 

Click Send CCD Request to generate the request.

Export status

Requested exports are managed in the CCD Request Status tab.

  • Processing Time: Exports process overnight and are typically available on the business day following the request.
  • Status Grid: Requests are listed with the most recent at the top, showing the Batch Name, Requested/Executed Dates, Password, and Status.

Downloading and extracting files

CCDs are delivered as password-protected zip files.

In the Password column, click View to reveal the password. Click Download in the File column to save the zip file to your computer.

Use the password when extracting or unzipping the file. Extraction tools such as 7-Zip are recommended for handling password-protected zip files.

Scheduling recurring exports

For practices requiring ongoing clinical data feeds, exports can be scheduled to run automatically.

Navigate to the Settings tab and select the Recurring radio button.


Select Weekly or Monthly as the Cycle Type, enter the date range parameters, and select the day and time you want the export to run.


Click Save Settings to finalize the schedule.
