Entering charges for existing patients
Adding charges to existing patients is a simple and straightforward process. It involves locating the patient’s account, selecting the appropriate record, and entering the required charge details directly into the system. This typically includes information such as the date of service, procedure codes, diagnosis codes, and any applicable modifiers.
Log in
To begin, log in to the RXNT app, then tap Charge Capture.
Menu
To return to the dashboard or log out, select the menu icon in the top right-hand corner.
Choosing Return to Dashboard will return you back to RXNT mobile solutions and choosing Logout will log you out of the mobile application.
Search patient
You can find patients using a range of search criteria through either the Quick Search or Advanced Search tabs. The Quick Search feature allows you to quickly locate patients by entering basic details such as first name, last name, or MRN, making it ideal for fast lookups when key information is available.
For more detailed searches, the Advanced Search tab offers expanded filtering options, allowing you to refine results using multiple criteria such as first name, last name, date of birth, account number, or MRN. This option is particularly helpful when searching for patients with common names or when only limited information is available.
Quick search
From the Quick Search tab, enter the patient’s first name, last name, or MRN in the search field.
As you type, matching results will automatically populate below. Review the list and select the appropriate patient to access and enter their charges.
Advanced search
From the Advanced Search tab, enter the patient’s first name, last name, date of birth, or Account/MRN number in the appropriate search fields to begin your search.
Next, tap the patient’s name from the results list below to access and enter their charges.
Date of service
On the Add Charge screen, the Date of Service field will automatically default to today’s date.
If a different date is required, tap the Date of Service field and use the keypad to enter the correct date.
Place of service
Tap the Place of Service field to add your place of service.
Tap the desired location from the list to select it, then tap Done to confirm your selection and continue.
Auto apply charges
Charges can be automatically applied using either a previously created procedure macro or a superbill, helping to streamline the charge entry process and reduce manual data entry.
To enable this feature, toggle on the Auto Apply Charge button.
Procedure macro(s)
Under the Procedure Macro tab, select the appropriate macro(s) from the Procedure Macro(s) dropdown list to proceed. Multiple procedure macros can be added if needed.
Tap the procedure macro name, then tap Done to confirm your selection.
The procedure macro details will appear below in the Charges section.
You can edit the procedure macro details by adding or removing diagnosis codes and modifiers as needed. To delete a diagnosis code or modifier, tap the X next to the code. To add additional diagnosis codes or modifiers, tap the Add option. CPT codes can also be removed if necessary by tapping Delete on the far right side.
Encounter note
To include an encounter note, tap Notes.
On the Encounter Note screen, tap Add Note to enter your note.
After entering your note, tap Save.
The note will be displayed on the Encounter Notes screen. To add another note, tap Add Note. To exit the screen, tap the Back button. You can also tap Delete to remove the note if needed.
Submit charge
Once you’re finished, tap Submit to send the charges to billing.
A saved successful message will appear at the top of the screen, along with the encounter number that has been created.
Superbill
Under the Superbill tab, select the appropriate superbill from the Superbill dropdown list to proceed.
Tap the desired superbill name to select it.
A superbill confirmation pop-up will appear, indicating that selecting the superbill will remove all previously selected procedure and diagnosis codes. Tap Continue to proceed.
A list of procedure codes from the superbill will be displayed. Select the desired codes by tapping the circle next to each one. Then, tap Add to continue.
You will be returned to the Add Charge screen, where you can link diagnosis codes and modifiers to each CPT code by tapping the Add option, and remove CPT codes if needed by tapping the Delete option.
To include an encounter note, tap Notes.
On the Encounter Note screen, tap Add Note to enter your note.
After entering your note, tap Save.
The note will be displayed on the Encounter Notes screen. To add another note, tap Add Note. To exit the screen, tap the Back button. Additionally, you can tap Delete to remove the note if needed.
Once you’re finished, tap Submit to send the charges to billing.
A saved successful message will appear at the top of the screen, along with the encounter number that has been created and released to Billing.
Adding new patients and manually entering charges
Adding new patients and entering charges in Charge Capture is a straightforward process. It involves creating a patient record and then entering the required charge details directly into the patient’s account.
Adding new patients
Patient accounts can be created either by manually entering patient information or by using a face sheet, depending on available data and workflow preferences.
To begin, from the Add Charge screen, tap the Add Patient button.
On the New Patient screen, you can either enter the patient’s demographic details manually and/or take a photo of a face sheet.
If entering the patient details manually, the following fields are required: First Name, Last Name, Sex, DOB.
If communication mode preferences are enabled, tap the appropriate communication method(s) as needed. Additionally, you may enter a chart number if applicable.
To add the patient’s address, communication methods, primary emergency contact, or reminder communication preferences, tap Add More Information.
To take a photo of a face sheet, tap Take Photo of face Sheet.
Allow RXNT to access your device’s camera and photos by tapping Allow.
After taking and saving the photo of the face sheet, you will be redirected back to the New Patient screen. The face sheet name will be displayed along with a red trash can icon. To delete the face sheet, tap the red trash can icon.
Tap the face sheet photo to review the face sheet details.
Tap Save. You will be redirected to the patient search screen.
Now, search for the patient you just added by entering their first or last name. Then, tap the patient’s name from the results list below.
Select the place of service from the Place of Service dropdown menu, then tap Add Charge.
Add procedure/CPT codes
From the Add Procedure screen, tap each CPT code you want to link, then tap Add.
You will be redirected to the Add Charge screen, where the selected CPT codes will appear under the Charges section.
To remove a CPT code tap, Delete on the far right side.
Add diagnosis codes
To add diagnosis codes, tap Add below Diagnosis.
On the Add Diagnosis screen, you will see all diagnosis codes saved as favorites. If you are unable to locate the correct diagnosis, tap IMO to look up and add diagnosis codes to the charge.
Recently used diagnoses will be listed at the top. To quickly locate a diagnosis code, enter a brief description in the search field, then tap the button on the left side of the code to add it. Next, tap Add to All if the diagnosis codes should be linked to all CPT charges, or tap Add to Code to apply the code to a specific CPT charge only.
You will be redirected back to the Add Charge screen, where the added diagnosis codes will be displayed. You can add additional diagnosis codes by tapping Add. To remove a diagnosis code, tap the "X".
Add modifiers
Make sure your Modifiers are set up in RXNT Billing on the desktop. Once configured, they will be available for use in the Charge Capture app.
To add modifiers, tap Add under the Modifiers section.
A list of favorite modifiers will be displayed. To quickly locate a modifier, enter a brief description or the modifier in the search field, then tap the button on the left side of the code to add it. Next, tap Add to All of the diagnosis codes should be linked to all CPT charges, or tap Add to Code to apply the code to a specific CPT charge only.
You will be redirected back to the Add Charge screen, where the added modifiers will be displayed. You can add additional modifiers by tapping Add. To remove a modifier code, tap the "X".
Notes
To include an encounter note, tap Notes.
On the Encounter Note screen, tap Add Note to enter your note.
After entering your note, tap Save.
The encounter note will be displayed as posted to the charge on the Encounter Notes screen. To add another note, tap Add Note. To exit the screen, tap the Back button. Additionally, you can tap Delete to remove the note if needed.

Update existing patient information
Updating patient information is a straightforward process that can be completed in just a few taps. Patient information is typically updated when there are changes to demographic details, contact information, insurance coverage, or communication preferences. Keeping this information current helps ensure accurate records, smooth communication, and proper billing.
Search for the patient you want to update, then tap the Edit icon.
Make the necessary updates, then tap Save to apply the changes. To edit the patient’s address, communication methods, primary emergency contact, or reminder communication preferences, tap Add More Information.
A pop-up will appear confirming that the changes were saved successfully.
Analytics
The Analytics tab provides comprehensive snapshots of key financial and operational data for the selected time frame, including encounters, claims, insurance payments, patient payments, and aging balances. This information is displayed in pie chart format for easy visualization and quick reference. The Pending Payments section can be viewed by either provider or payer, allowing you to track outstanding balances and monitor payment activity from different perspectives.
You can filter your view to display only the snapshots you need, helping you focus on the most relevant data. Pending payments can be viewed by name or by amount. To customize your view, tap the Filters icon and select the desired options. Once you’ve made your selections, tap Done.
