Charge Uploader - Beta Release

The Charge Uploader feature provides your team with a seamless and efficient way to upload charge data directly into the RXNT Billing product, eliminating the need to enter charge data manually. This tool is designed to support multiple file formats and does not require a specific template, allowing for seamless integration of large data sets without significant manual work. 

Upload Charges

Begin by navigating to the Utilities icon. 

Click Uploads, then Charge Uploader.

You can upload your charges by clicking Browse Files and selecting one, or by dropping a file in the upload container. Supported file formats include CSV, XLSX, and XLS.

After uploading the file, a data validation check is performed. If any information is missing, an error message will pop up, outlining the specific issues and prompting you to update the file before proceeding with the upload. 

Additionally, a warning message will appear under the Upload Charge File section. To view the errors, click on Review Errors

The file will not be added to the uploads section until the necessary corrections are made. 

The file will be added to the Uploads queue in the Pending status and updated to In Progress as the system reviews and imports the charge data. Once the upload is complete, the status will update to Completed

Utilize the Refresh icon to reload the table and fetch the most up-to-date upload status. 

The Uploads queue will display the File Name, Upload Date, Import Status, Failed Encounters, and Error Status

To sort by a column, click on its heading. The first click will sort the column in ascending order, the second click will sort the column in descending order. 

Click the Reset Grid icon to restore the original view. 

Files with no errors will not include a link to view the data, as all charges were imported successfully and created as Unbilled Encounters. To view the encounters that were not successfully created within errored files, click on the File Name

Quickly view the total number of encounters identified on the file in the top right, as well as totals for successfully created and failed encounters. 

Encounters that could not be created will be listed with the Patient's Name and Date of Service along with the reason why the encounter could not be created.  Failed encounters can be uploaded in a new file with the appropriate corrections made, or created manually through the New Encounter workflow.

All uploaded files will remain in the Uploads queue. 

Things to know before uploading your charges

Patient creation

We’ll match patients based on an exact match of First Name, Last Name, and Date of Birth. If a match isn’t found in the system, we’ll Quick Add the patient to keep the workflow moving. 

Quick Add creates the patient with their First Name, Last Name, and Date of Birth only. 

What we’re not handling in this phase

For the first release of this tool, case information, and patient demographic updates will not be processed:

  • Case information on the file will be ignored, meaning we will not create new patient cases, or associate provided case information to uploaded charges. (no case creation of linking).
  • Any demographic changes for patients included in the file will not be processed or updated. Please ensure that all patient information is accurate and up to date in RXNT before claim submission.
