Customize patient reminders based on the material resource or location of the patient's appointment. This feature gives much flexibility in customizing messages to different groups of people.

Here's how you get started!
Reminders based on location
Select the reminder type by clicking Utilities.
Then, click Reminder Composer.
Select Location Reminder as the Reminder Type.
Choose a location
Now, select a location from the drop-down for reminder customization.
Customize reminder messages
The default text appears in the SMS, email, and voice call fields when the material resource is selected.
Once your messages are set up, click Save.
Log off and back into the system for your changes to be applied.
Now, patients who have appointments linked to the selected location will receive the location reminder.
Reminders based on material resources
Select the reminder type by clicking Utilities.
Then, click Reminder Composer.
Select Material Resource Reminder as the Reminder Type.
Choose a material resource
Now, select a material resource from the drop-down for reminder customization.
Customize reminder messages
As soon as the material resource is selected, the default text appears in the SMS, email, and voice call fields, and the Enable material resource reminder shows an "X" to toggle on or off. A Checkmark will show that the feature is on.
Note: The group preferences below are highlighted in blue, meaning that reminders for this material resource have not been set previously.
Change the default SMS, email, and voice call messages to customize the reminder messages.
Once your messages are set up, turn ON the Enable material resource reminders toggle.
Click Save.
Log off and back into the system for your changes to be applied.
Now, patients who have appointments linked to the selected material resource will receive the material resource reminder.
Important information
A voicemail will not be sent if the patient doesn't answer a voice reminder.
- When the Enable material resource reminders toggle is turned OFF, the patient reminders will be sent based on the location of the appointment.
- Anytime you want to turn off the material resource reminder, simply turn OFF the Enable material resource reminders toggle!

When an appointment is rescheduled, you'll be prompted to choose whether to send a reminder for the rescheduled appointment if the patient is "opted-in" for reminders.
Reminders preferences
Setup company preferences for sending appointment reminders. These preferences are applied on a company level and may differ for each patient based on their authorized communication methods and communication restrictions. For example: If the company has SMS as a mode of communication for sending out patient reminders, but the patient's authorized communication method does not include SMS, then the patient reminder will not be sent to the patient.
Click Utilities
Click Patient Reminder
Click Company Preferences
System defaults will be selected for each preference.
Update any preference if required
- Preferred Phone Types - Select the preferred phone type to send the appointment reminder.
- Mode of Communication - Select the mode of communication to send the appointment reminder.
- Reply-To-email - Setup a reply to the email. This will be sent for every appointment reminder.
- Prior Days To Send Reminder - Setup the number of days before the reminder is sent.
- Preferred Time To Send Reminder - Select the time to send the appointment reminder.
- Allow Saturday Communication - Choose whether Saturday communication is allowed for the practice.
- Allow Sunday Communication - Choose whether Sunday communication is allowed for the practice.
Click Save to save the preferences. Then log off and log back in to apply the preferences.
Any changes made to your preferences will be reflected in the next reminder cycle if the changes are made before the reminder job runs on the backend.
To ensure that the most updated patient reminders are sent out, all changes must be made before 2:00 AM of the day reminders are set to be sent out. For example, A reminder is scheduled to be sent on the same day of the appointment, i.e, 12/12/2020. Only changes made to the reminder preferences before 12/12/2020 (2:00 AM) will be reflected in the reminders that are sent out on 12/12/2020.
